Terms of Use

These Terms of Use (“Terms”) govern your access to and use of the Diplomatic Protocol Event Management (“DPEM”) platform at dpem.org and all associated subdomains. By accessing the platform or registering for an event, you agree to be bound by these Terms.

1. Acceptance of Terms

By using DPEM, you confirm that you are at least 18 years of age and have the legal capacity to enter into a binding agreement. If you are registering on behalf of an organisation, you represent that you have authority to bind that organisation.

2. Description of Service

DPEM provides an institutional platform for discovering, registering for, and attending diplomatic, academic, scholarship, and cultural events. The platform facilitates event registration, ticketing, accreditation, and attendee management.

3. Account Registration

Some features require registration of an attendee portal account. You are responsible for maintaining the confidentiality of your credentials and for all activity conducted through your account. Notify us immediately of any suspected unauthorised use at enquiries@dpem.app.

You may not create an account using a false identity, register multiple accounts for a single individual, or transfer your account to another person.

4. Event Registration and Tickets

Registration for an event constitutes a binding commitment. Tickets are personal and non-transferable unless DPEM expressly permits transfer for a specific event.

For application-based events, submission of an application does not guarantee admission. Acceptance decisions rest solely with the DPEM programme committee and are communicated by email.

5. Payment Terms

All prices are quoted in the currency displayed at checkout and are inclusive of applicable taxes unless otherwise stated. Payment is processed securely via Stripe. Your card is charged upon completion of checkout.

DPEM does not store payment card data. In the event of a charge dispute, contact us before initiating a chargeback. Fraudulent chargebacks may result in permanent account suspension.

6. Cancellation and Refunds

Registration for an event, application to a selection-based programme, or purchase of a ticket is subject to our Cancellation and Refund Policy, which is incorporated into these Terms by reference. Application fees are non-refundable; direct ticket purchases are generally non-refundable once confirmed, subject to the limited exceptions and 15-day request window set out in that Policy. You are required to read and accept the Cancellation and Refund Policy before completing registration and payment.

7. Attendee Conduct

All attendees are expected to conduct themselves in a professional and respectful manner consistent with the diplomatic and academic character of DPEM events. DPEM reserves the right to remove any attendee whose conduct is deemed disruptive, discriminatory, or harmful, without refund.

Recording of sessions — whether audio, video, or photographic — is prohibited without prior written consent from DPEM and the relevant speakers.

8. Intellectual Property

All content on the DPEM platform — including event descriptions, speaker profiles, editorial articles, programme materials, and design elements — is the property of DPEM or its content contributors and is protected by copyright law. You may not reproduce, distribute, or create derivative works without written permission.

9. Platform Availability

DPEM aims for high availability but does not guarantee uninterrupted access. Scheduled maintenance, security patches, and unforeseen technical incidents may temporarily interrupt the service. We will communicate planned downtime in advance where possible.

10. Limitation of Liability

To the fullest extent permitted by law, DPEM’s aggregate liability for any claim arising from your use of the platform shall not exceed the amount you paid for the specific event giving rise to the claim. DPEM is not liable for indirect, consequential, or incidental damages.

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or any other liability that cannot be excluded by law.

11. Force Majeure

DPEM shall not be liable for delays or failures in performance resulting from events beyond our reasonable control, including but not limited to natural disasters, governmental action, public health emergencies, or civil unrest. In such circumstances, we will communicate alternative arrangements or refund options as promptly as practicable.

12. Privacy

Your use of DPEM is also governed by our Privacy Policy, which is incorporated into these Terms by reference.

13. Governing Law and Dispute Resolution

These Terms are governed by the laws of the Province of British Columbia and the applicable federal laws of Canada. Any disputes shall first be referred to good-faith negotiation. Unresolved disputes shall be subject to the exclusive jurisdiction of the courts of British Columbia.

14. Amendments

DPEM reserves the right to amend these Terms. Material changes will be communicated by email and displayed on this page with an updated effective date. Continued use of the platform after the effective date constitutes acceptance.
